Other Document Actions
Taking a Document Offline
To unpublish a document, open it in the Document Viewer and select Take Offline ... from the Publication menu. If other published documents reference this document, Bloomreach Content displays a warning. You can choose to remove or redirect these references before proceeding. If you ignore the warning, all references become dead links. Click Take offline to confirm.
The Take offline all in folder... option in a folder’s context menu does not check for references. To take multiple documents offline while verifying references, use bulk workflow operations in the Document search application.
Moving a Document
To move a document to a different parent folder, first ensure the document is offline. Open the document in the Document Viewer, click the Document button in the menu bar, and select Move .... In the Move dialog, select the target parent folder and click OK.
Moving a document typically changes its URL. If users have bookmarked the original URL, those bookmarks will no longer work. To maintain access, configure Bloomreach Content to forward requests from the old URL to the new one.
Renaming a Document
To rename a document, ensure it is offline. Open the document in the Document Viewer, click the Document button in the menu bar, and select Rename .... In the Rename dialog, enter the new name and, if needed, a new URL name. Click OK to apply the changes.
Renaming the URL name changes the document’s URL. Bookmarks to the old URL will no longer work. To avoid broken links, configure Bloomreach Content to forward requests from the old URL to the new one.
Deleting a Document
You can only delete a document if it is offline. In the Document Viewer, click the Document button in the menu bar and select Delete .... If other documents reference the one you are deleting, Bloomreach Content displays a warning. Remove or redirect these references before deleting. Click Delete to confirm.
Closing a Document or Multiple Documents
To close a document, click the cross on its tab. To close multiple documents at once, right-click a tab and select the appropriate option.
Navigating Between Experience Manager (Preview) and Document Editor
After opening a document, use the View menu to preview how the document appears on the website. To return to editing, click the document’s tab.
If the document is part of a project, you can preview the project version in a channel only if that channel is included in the same project. If the channel is not part of the project, the preview displays the core version of the document.
Adding or Removing a Document from a Project
When using the Projects feature, you can add a document to a project or remove it from a project as needed.
Switching Between the Core Version and a Project Version of a Document
If a document is included in a project, you can switch between the core version and the project version. This allows you to edit and publish the core version while preparing a different version within the project context.
